Programme Management

Working together as a Consortium is a key factor in realising success for Project Alloyed. Jacobs leads Work Package 1 (WP1) with a specific focus on the programme and project management elements of Project Alloyed.

The project has been segmented into eight work packages and Jacobs manages the overall project using a tailored version of Jacobs' processes. The process is based on lessons learnt from projects with various clients including Highways England, the Department for Transport and Local Authorities.

Regular internal progress and technical meetings are controlled through WP1, allowing consortium members to collaborate and work together across the project. Quarterly Progress Meetings are organised with the Project Monitoring Officer to feed back key information to Innovate UK on progress and any issues that have been identified by the project team.

The project mobilisation and execution process for Project Alloyed includes:

  • Legal Agreements - coordination to signature of the project Collaboration Agreement signed by all parties including Non-Disclosure Agreements where applicable
  • Communication Plan with defined interfaces with consortium members and Innovate UK

Sample mapping of target objectives to consortium partners

  • Project-specific performance management and project controls regime
  • Budget Tracker to highlight budget deviation
  • Project Execution Plan (PXP) tailored specifically for the project

  • Resources Plan, a RACI matrix to define roles and responsibilities
  • Finance and claims management
  • Milestone Register, Document Control and Change Control

The project Quality Control Systems ensure 'right first time' principles are applied. The processes are externally assessed and approved by Lloyds Register to the requirements of BS EN ISO 9001:2008, ISO 14001:2004 and OHSAS 18001:2007 and place particular emphasis on continuous improvement.

Jacobs has also led the development of the project Exploitation Plan, a requirement by Innovate UK that details the project actors and their planned contributions to the exploitation and dissemination of project outcomes. In addition, preparation and submission of the final project report and an Independent Accountant's Report (IAR) for each participant falls under this work package.
